Lockheed Martin Administrative Assistant Sr in Bethesda, Maryland
This position is responsible for providing administrative assistant support to the Director of Talent Acquisition Strategies & Solutions within the Workforce Solutions and Intelligence (WSI) organization.
The main responsibilities of the position include: • Maintaining calendars by coordinating meeting requests and correspondence quickly and efficiently. • Arranging meetings and conferences. Providing prompt follow-up to last minute changes to meetings and logistics. • Managing telephone coverage for the Director and other Directors in the organization as needed. • Arranging domestic and international travel and completing timely and accurate expense reports using designated Travel and Expense Reporting Systems. • Assisting with incoming / outgoing departmental mail and establishing and maintaining associated filing systems. • Answering questions relating to office operations and established policies and procedures. • Provide onboarding and technical support for team members / new hires • Preparing and tracking departmental invoices and bill backs, as needed. • Collaborate with and serve as back up to other administrative assistants in the WSI organization. • As required, performs other relevant administrative tasks and assignments for the department.
The ideal candidate will be required to have extensive and recent experience providing efficient executive administrative assistant support in a fast paced organization and position. This position requires effective customer service skills, the ability to react and shift priorities quickly while remaining calm and efficient.
Basic Qualifications Attention to detail in a fast paced, highly demanding environment Experience in travel booking and expense reconciliation and systems Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint) Demonstrated ability to manage multiple telephone lines Effective organizational, multi-tasking and prioritization skills Ability to proactively consult to resolve competing priorities and sequencing of work Ability to work a flexible schedule on occasion in order to support departmental activities Effective communication skills at all levels (front-line through executive), both verbal and written Excellent organizational skills and attention to detail
Desired skills Must be a proactive self-starter with strong initiative, exemplary planning and time management skills Demonstrated ability to work well independently, but function within a team environment Demonstrated ability to manage multiple tasks simultaneously and quickly adjust to changing priorities Experience with LM systems to include STARS, LMTravel-ERS and Concur, LMTravelSource (reservations) Knowledge of SharePoint administration Advanced training or certifications in relevant fields Prior experience responding to change quickly and professionally Demonstrated ability to act with diplomacy and discretion with customers, colleagues and superiors Outstanding interpersonal skills, with demonstrated ability to interface with all levels of internal and external customers as well as corporate executives.
