Lockheed Martin Executive Administrative Assistant Specialist in Palmdale, California
Provide administrative support to the Executive Vice President of ADP. Prepare professional correspondence, reports, internal memos, and presentation material. Maintain schedules and calendars via MS Outlook for the leaders in the organization. Proofread correspondence and presentation materials prepared by others. Provide direct support to relieve other managers of routine management and administrative duties. Coordinate meetings including agenda preparation and attendee notification. Interface with various organizations in support of visitor reception coordination. Gather information and compile comprehensive reports as necessary. Coordinate travel reservations, expense report preparation, and credit card reconciliation. Must be able to deal with sensitive data and maintain confidential materials. Must be able to execute effective time management skills and interface with executives in a professional manner due to the nature of the position.
Must be willing and able to adjust work schedule to accommodate need for early or late work and occasional off days ensuring compliance with the provisions of the Fair Labor Standards Act.
Basic Qualifications -5+ years of Administrative Assistant experience. -Experience managing emails and calendars for the leader -High proficiency with Microsoft Office Word, Excel, PowerPoint, Outlook (specifically Outlook Calendar management). -Experience with travel planning, coordination and submitting expense reports.
Desired skills Demonstrated experience with excellent written/verbal skills
Experience working in a high volume, fast paced and dynamic environment; demonstrating multi-tasking, prioritization, initiative and ability to work in a team environment.
Proficient with LM Travel/Expense reporting tools.
Demonstrated success at balancing multiple requirements and priorities of an executive office environment.
Experience interfacing with executive level company and Military/Government personnel.
